Provide administrative and clerical
support to members of the department in
an efficient and professional manner,
including but not limited to: preparing
correspondence and reports that are
frequently of a confidential and/or a
proprietary nature; maintaining highly
organized filing system for quick and
efficient reference including a
documentation of state agency external
audits; maintenance and coordination of
schedules, meetings, and travel
arrangements; prepare expense reports and
reconcile corporate card transactions.
Reporting: Run reports from various
software: track employees PTO/Vacation
and distribute monthly; prepare various
other reports for distribution (Payroll
OT, QIT)
Coordinate communication and activities
in support of Subsidy processes with
senior management, other departments,
field management, and key personnel.
Provide administrative support to the
Executive Administrator of Corporate
Finance as needed and requested: ISR’s,
invoicing, calendaring assistance, report
& binder production, and various other
administrative functions. Assist with
desk coverage for vacations and time off.
Submit IT Service Requests through
Service Now in addition to Subsidy web
page updates.
Process and track invoices.
Assist in the maintenance and support of
Subsidy departmental projects, related
documents and external audit responses.
Assist with special department projects
as needed (e.g., annual meetings, visitor
accommodations, routine report
generations, etc.)
Liaison with other departments and their
assistants.
Determine the need and coordinate the
ordering of all supplies for Subsidy and
other Corporate Finance Departments as
needed.
Coordinate IS/Facilities support for
computer, office equipment, and
maintenance issues.
Update company documents for the Subsidy
and finance Departments as needed (e.g.,
Policies and Procedures Manual,
Management Books, etc.)
Adaptability Requirements:
This position requires a high degree of
adaptability. The incumbent will be faced
with a variety of assignments in a fast
paced environment on a day to day basis
covering eh Subsidy Department and the
Executive Administrator. They will be
expected to respond to these with an
appropriate level of professionalism and
collaboration.
